SOGESTIO

SOGESTIO vs Excel: when should a Moroccan business stop invoicing in Excel?

Excel is a flexible, familiar spreadsheet and a practical way to get started, but invoice numbering, VAT totals, stock updates, multi-user work and audit trails all stay manual. SOGESTIO is cloud business management software built in Morocco that automates those steps and imports your existing Excel or CSV files. For a very small volume, Excel can be enough.

Why so many Moroccan businesses start with Excel

Excel is already on most computers, almost everyone knows the basics, and in a few minutes you can build an invoice template, a customer list or a stock sheet. For a sole trader issuing a handful of invoices a month, that is a sensible starting point: no subscription, no training and complete freedom over layout.

The trouble rarely shows up in the first month. It shows up when volume grows, when a second person needs to invoice, when the accountant asks for the quarter's VAT backup or when a customer disputes an amount. That is the moment to ask whether a spreadsheet is still the right tool.

What stays manual in a spreadsheet

A spreadsheet calculates whatever you tell it to, but it knows nothing about the rules of a Moroccan invoice. Every check depends on the person typing, and an overwritten formula or a row copied twice can easily go unnoticed.

  • Numbering: the next number is typed by hand, which leads to duplicates or gaps that are hard to explain.
  • VAT: totals per rate (20%, 14%, 10%, 7%, exempt) depend on formulas you have to check in every template.
  • Stock: the invoice and the stock sheet are separate files, so nothing links a delivery to the remaining quantity.
  • Multi-user work: two people opening the same file quickly produce two different versions.
  • Audit trail: it is hard to know who changed an invoice, when and why.
  • Collections: due dates and unpaid invoices live on another tab, updated when someone remembers.

A worked example: an invoice of MAD 10,000 before VAT

Take an invoice of 10,000.00 DH before VAT at the standard 20% rate. VAT is 2,000.00 DH and the total including VAT is 12,000.00 DH. In Excel that is easy as long as every line uses the same rate. As soon as one invoice mixes a product at 20% and a service at 10%, you have to total VAT per rate without missing a line, then carry those amounts into your VAT tracking.

In SOGESTIO, totals before VAT, VAT and totals including VAT are calculated by the server, VAT is computed line by line and summed per rate, and the invoice number is assigned automatically by document type and year. Rates are pre-filled and configurable per company, because they change with each finance law.

What SOGESTIO automates compared with Excel

SOGESTIO links the documents that Excel keeps apart: the chain from customer to quote, purchase order, delivery note, invoice and payment runs without re-typing. Stock is updated on every delivery and every receipt, with minimum-stock alerts and weighted average cost (CMUP) valuation.

Quotes and invoices are generated as PDFs in French, Arabic or English with your logo, legal name, address, ICE number, IF, RC, business tax (patente) and bank details (RIB). Each user has their own login with role-based permissions, and the audit log records who did what and when.

  • Sequential numbering assigned by the server.
  • Automatic totals and VAT per rate.
  • Stock kept in sync with deliveries and receipts.
  • Several users on the same data, from a browser or the Android app.
  • Due dates calculated from payment terms, with unpaid-invoice tracking.
  • Audit log and role-based access.

Keep your spreadsheet data: Excel/CSV import

Moving to business software does not mean re-typing everything. SOGESTIO offers Excel/CSV import and export, so you can bring in your customers, items or suppliers from your current files, and export your data whenever you need it, for example for your accountant.

Excel does not have to disappear either: many users keep it for one-off analysis on exported data, while invoicing, stock and payment tracking happen in SOGESTIO.

Which tool for which need?

Excel remains a good choice if you issue very few invoices, work alone, have no stock to track and are happy to check numbering and VAT yourself. It is also unbeatable for free-form calculations, simulations and one-off tables.

SOGESTIO makes sense once volume grows, when a colleague or accountant needs access, when stock has to follow sales or when you want consistent documents carrying all your company details. The Starter plan costs 199 DH excl. VAT a month for one company and up to 2 users, covering sales and invoicing, stock, expenses and cash. A 14-day free trial, with no credit card, lets you test it with your own data.

Frequently asked questions

Is it legal to issue invoices from Excel in Morocco?

Nothing prevents you from creating an invoice in a spreadsheet, as long as it carries the usual details: seller identity, ICE number, IF, RC, business tax, number and date, description, price before VAT, VAT and total including VAT. The hard part is keeping numbering continuous and totals correct over time. Always have your templates checked by your chartered accountant.

Can I import my customers and items from Excel into SOGESTIO?

Yes. SOGESTIO offers Excel/CSV import and export, so you can bring in your existing lists without re-typing them. You can also export your data at any time.

When is Excel no longer enough?

There is no official threshold. Typical signs are duplicate invoice numbers, VAT errors, stock figures that no longer match reality, several people editing the same file, or too much time spent preparing documents for the accountant.

How much does SOGESTIO cost?

The Starter plan is 199 DH excl. VAT a month, or 1,990 DH a year, for one company and up to 2 users. The Pro plan is 449 DH excl. VAT a month. A 14-day free trial is available with no credit card and no commitment.

Is my trial data kept if I subscribe?

Yes, data entered during the 14-day trial is kept when you subscribe, and you can change plans at any time.

Is the information about Excel on this page guaranteed?

No. It is general, may change and should be checked with the vendor. Trademarks mentioned belong to their respective owners.
