Why spreadsheet stock is always wrong
Many Moroccan traders keep stock in a spreadsheet updated whenever there is time. A forgotten delivery, an unrecorded transfer between shop and storeroom, damaged goods never written off: within weeks the figure no longer matches the shelves. You sell items you no longer have, or reorder products already sitting in the back.
The fix is not to count more often but to stop entering stock separately. In SOGESTIO stock moves by itself: a customer delivery note reduces it, a supplier receipt increases it. You simply sell and buy, and inventory follows.
Several warehouses, one consolidated view
A distributor may run a warehouse in Casablanca, a sales outlet in Rabat and a delivery van; a retailer, a shop and a storeroom. SOGESTIO manages multiple warehouses: each item has a quantity per location and a total quantity.
Movements are typed and traceable: receipt, issue, and transfer between warehouses. A transfer reduces the origin and increases the destination without changing total stock value. The audit log records who made each movement and when.
- Quantity per warehouse and overall quantity per item
- Traceable warehouse-to-warehouse transfers
- Manual receipts and issues with a reason (damage, sample, adjustment)
- Negative stock rule: allowed or blocked to suit your operations
- Role-based permissions to limit who can adjust stock
| Operation | Quantity | Unit cost excl. VAT | Value | Stock after operation |
|---|---|---|---|---|
| Opening stock | 100 | 50.00 DH | 5,000.00 DH | 100 cartons, 5,000.00 DH |
| Supplier receipt | 200 | 56.00 DH | 11,200.00 DH | 300 cartons, average cost 54.00 DH |
| Customer delivery | 120 | 54.00 DH | 6,480.00 DH | 180 cartons, 9,720.00 DH |
Weighted average cost valuation: a worked example
To know your margin and prepare your balance sheet, stock must be valued. SOGESTIO uses the weighted average unit cost (CMUP in French): on each receipt, the average cost is recalculated from the quantities already held and the net purchase cost of the new ones.
Example: you hold 100 cartons of cooking oil bought at 50 DH each excl. VAT, worth 5,000 DH. You receive 200 cartons at 56 DH, worth 11,200 DH. The new average cost is (5,000 + 11,200) / 300 = 54.00 DH. If you then sell 120 cartons, they leave at 54.00 DH, a cost of 6,480 DH, and the remaining 180 cartons are worth 9,720 DH. The gross margin in your reports is based on that cost, not on the latest purchase price.
Minimum stock alerts: reorder before you run out
For each item you set a minimum level. As soon as stock falls below it, the item appears in the below-threshold list on the dashboard. A hygiene products wholesaler or spare parts dealer avoids stock-outs on fast movers without tying up cash in slow movers.
With the Pro plan, supplier purchase orders and goods receipts are linked to inventory: received goods enter automatically at net purchase cost and update the average cost.
Batches, serial numbers and stock counts
Some trades must know exactly which batch or unit left the building: food or cosmetics tracked by batch, appliances, phones or equipment tracked by serial number for warranty and after-sales service. SOGESTIO records batches and serial numbers on movements, so you can find which customer received a given unit.
A physical count remains essential at least once a year. You enter the counted quantities, SOGESTIO calculates the differences against book stock and posts the adjustments. Count warehouse by warehouse, outside delivery hours, so the count reflects a single point in time.
Inventory linked to sales, e-commerce and reporting
Inventory is not an isolated module. Shopify and WooCommerce orders are imported into SOGESTIO automatically, and the resulting delivery reduces the same stock as your shop. Excel and CSV import and export let you load an existing catalogue in minutes.
Reports show top products with their gross margin, monthly revenue and items below threshold. The Android app gives access to the same data in the field, for example to check availability in front of a customer.
Which plan includes inventory management?
The Inventory module is included from Starter, at 199 DH/month or 1,990 DH/year excl. VAT, together with invoicing, expenses and petty cash, for one company and up to 2 users. Pro, at 449 DH/month excl. VAT, adds supplier purchasing linked to inventory, banking and accounting for up to 10 users. Groupe, at 990 DH/month excl. VAT, covers several companies. The 14-day free trial needs no bank card.
Frequently asked questions
Is there free inventory software in Morocco?
SOGESTIO offers a 14-day free trial with no bank card and the full inventory module. Starter, which includes inventory and invoicing, then costs 199 DH/month excl. VAT. Items and movements entered during the trial are kept.
Is stock updated automatically on each sale?
Yes. Stock decreases when a customer delivery note is validated and increases when a supplier goods receipt is validated. You never enter the movement twice.
What is weighted average cost and why use it?
Weighted average unit cost (CMUP) is recalculated on each receipt from the value of existing stock and the value of new quantities. It smooths purchase price swings and gives a realistic gross margin. SOGESTIO calculates it automatically.
Can I manage a shop and a separate warehouse?
Yes, SOGESTIO handles multiple warehouses. Each item has its quantity per location, and transfers between warehouses are recorded as movements in their own right.
Can I prevent selling an item that is out of stock?
Yes, with the negative stock rule: you either block any issue that would take stock below zero, or allow it if you sometimes deliver before recording the receipt.
Do Shopify or WooCommerce orders update my stock?
Shopify and WooCommerce orders are imported into SOGESTIO automatically. They then follow the same flow as your other sales, and the delivery reduces your shared stock.
