About thirty kilometres from Casablanca on the road to Rabat, Mohammedia is one of the most industrial cities in the country. Its industrial zones host chemicals and specialty chemicals, food processing, construction materials, pharmaceuticals and many industrial services, and its port has historically handled energy products. The city, long associated with oil refining, also has a seaside and sporting identity that keeps shops and service providers busy.

Example: over one month, the packing line generates 400,000 DH of sales excluding VAT against 310,000 DH of assigned costs, a result of 90,000 DH; the trading activity generates 150,000 DH of sales against 158,000 DH of costs, a loss of 8,000 DH. Without cost accounting, the two figures offset each other in a positive overall result and the loss goes unnoticed.

Monthly budgets: planned versus actual

The budget is entered by month and by line: energy, maintenance, materials, subcontracting, transport. Each month, SOGESTIO compares budget and actuals and shows the variances. Example: a maintenance budget of 120,000 DH against actual spending of 134,000 DH means an overrun of 14,000 DH, about 11.7%. The warning comes the same month, not at year-end closing.

Because accounting entries are generated automatically on the CGNC chart of accounts with every invoice, purchase, payment and payroll run, budget actuals rest on the same data as the general ledger. The balance sheet, CPC and ESG come from the same database and remain to be reviewed by your chartered accountant.

Approval workflows: expenses, discounts and payments under control

In a growing SME, the owner can no longer sign everything, but does not want to delegate without safeguards. SOGESTIO's approval workflows validate expenses, supplier payments, discounts, purchases, leave and expense claims against an amount threshold and a role. For example: an expense above a set amount goes to the finance director, an unusual discount to the sales director, a large supplier payment to the owner.

During an absence, the approver delegates to a colleague, and nobody can approve their own request. Purchasing follows the chain of purchase request, order, receipt and supplier invoice, with matching between the three.

Data security and traceability

Each company is isolated on the server side and traffic runs over HTTPS. Role-based rights, owner, administrator, accountant, salesperson or custom roles, limit what each person can see and change, and the audit log records who did what, and when.

Two-factor authentication works with an app such as Google Authenticator or Microsoft Authenticator, with backup codes. The list of connected devices lets you sign out a lost phone remotely. For a business that requires its data to stay in-house, the On-premise edition is installed on its server, through Docker or a Windows installer, with automatic backups and signed updates.

An online service, with no office in Mohammedia

SOGESTIO has no office in Mohammedia: it is an online service available anywhere in Morocco, in French, Arabic or English, and setup is remote, with customers, items, stock and opening balances imported from Excel or CSV. Managers approve from the Android app or the web app installed on iPhone, and offline mode lets you keep viewing data and entering quotes, draft invoices, payments and expenses during an outage.

Frequently asked questions

Can we see the profitability of each production line?

Yes. Each line can be a cost centre; invoices and expenses are assigned to it and SOGESTIO computes the result per centre. Margin by product completes the picture.

How do we stop a salesperson from granting too large a discount?

Discounts are part of the approval workflows: above the threshold you set, they must be validated by the designated role, and nobody can approve their own request.

A phone with the app has been lost: what should we do?

From the list of connected devices, sign out the lost device remotely. Two-factor authentication also protects account access with a one-time code.

Are budgets available on every plan?

No. Budgets and cost accounting are part of the Pro and Group plans. The Starter plan covers invoicing, stock, expenses and petty cash.

Do we need an integrator in Mohammedia to get started?

No. SOGESTIO is an online service with no local branch: setup, file imports and approval workflow configuration are done remotely, after the 14-day free trial.
