What kinds of invoicing tools are there, free and paid?
Invoicing tools fall into six families, from free to paid. Before comparing offers, work out which family each one belongs to.
- Word or Excel template: a file filled in by hand, with no automatic checks.
- Online generator: a web form that produces a PDF, for a one-off invoice.
- Freemium software: free up to a limit (invoices, users or features), paid beyond it.
- Self-installed open source: free licence, hosting and maintenance on you.
- Subscription software (SaaS): paid monthly or yearly, hosted and updated by the vendor.
- Installed paid licence: bought, then installed on your own machines.

What does free invoicing software really cost?
No subscription does not mean no cost: the spending moves to your time, the risk of mistakes, or a dependency you only discover the day you want to switch.
- Time: finding the last number, re-typing the customer, recalculating VAT, updating the tracking sheet.
- Errors: a duplicate number or a forgotten VAT rate has to be fixed later with a credit note.
- Limits: a cap on invoices, a single user, a watermark or ads on the document.
- Export: your invoices and customers cannot always be retrieved in a usable format.
- Support: often limited to documentation or a forum.
- Continuity: a free service can change its terms, start charging or shut down.
What an invoicing tool must handle in Morocco, free or paid
Many free tools are designed for other countries. Check at least these points, then have your invoice template reviewed by your chartered accountant.
- The seller's ICE number, IF, RC and business tax (taxe professionnelle) on every document, plus the ICE number of business customers.
- VAT at 20%, 14%, 10%, 7% or exempt, totalled per rate and configurable, since rates change with finance laws.
- Chronological, continuous numbering with no duplicates or gaps.
- Credit notes linked to the original invoice rather than deletions.
- Documents available in Arabic, amounts in MAD (DH) such as 12,500.00 DH.
- Export to Excel or CSV, and ideally to a structured format such as UBL.
A worked example: time spent versus a subscription
This calculation is an illustration, not a promise: replace the assumptions with your own figures. A business issues 30 invoices a month from an Excel template, at 12 minutes per invoice (number, customer, VAT, PDF, payment tracking): 360 minutes, or 6 hours. With software that numbers and calculates on its own, allow 4 minutes: 120 minutes, or 2 hours.
That saves 4 hours a month. Valued at 100 DH an hour, that time is worth 400.00 DH every month, compared with the Starter plan at 199 DH excl. VAT a month: a difference of 201.00 DH in favour of paid software, before counting the errors avoided. Over twelve months that is 48 hours, or 4,800.00 DH worth of time, against 1,990 DH excl. VAT for a yearly Starter subscription.
With 6 invoices a month, however, the saving drops to 48 minutes, or 80.00 DH: less than the subscription, so a well-chosen free tool remains rational. In this example the break-even point is 1.99 hours saved per month (199 divided by 100).
Your data: ownership, reversibility and security
Morocco's General Tax Code requires businesses to keep copies of sales invoices and supporting documents for ten years, under the rules in force at the time of writing. Your invoices must therefore stay accessible, even if you change tools.
Ask any tool four questions. Can I export my data in an open format? What happens to it if I stop paying or the service closes? Who can access it, and with which permissions? Who makes the backups, and where? With an Excel file or installed software, backups are up to you: a disk failure without a copy can wipe out years of invoicing.
When free is enough, and when paying becomes rational
Free is usually enough if you are starting out, issue few invoices, work alone with no stock to track, and check numbering and VAT yourself. Paying becomes rational as soon as one of these signs appears:
- Invoicing time costs more than the subscription.
- A second person needs to issue or view invoices.
- Numbering or VAT errors keep coming back.
- Unpaid invoices are chased from memory.
- Your accountant rebuilds your figures by hand.
