Where should you start: processes before features?

Many poor choices come from a successful demo rather than a written need. Before looking at any software, describe in one or two pages how the business works: quotes, orders, deliveries, invoices, reminders, stock, payroll, and what your accountant asks for each month. Add what hurts today (VAT errors, stock-outs, forgotten reminders): this document becomes your simplified requirements specification.

Then quantify your volumes, because they determine the type of tool: a craftsman issuing twenty invoices a month does not have the needs of a distributor with three warehouses and two thousand items.

Spreadsheet, installed, cloud or open-source ERP: which family of tools?

No family is better in absolute terms, and this guide does not rank any software. A spreadsheet is cheap and flexible, but everything depends on the user's discipline (numbering, VAT formulas, file versions). Software installed on a company computer or server works without the internet and keeps data on your premises, in exchange for a licence, updates, backups and hardware to maintain.

Online software (cloud or SaaS) runs in a browser or an app for a subscription; the vendor handles hosting, backups and updates, but the tool generally depends on a connection. An open-source ERP is highly modular, often licence-free for its base version according to the vendors, but usually goes through an integrator for configuration, adaptation to Moroccan rules and maintenance: that is the budget to estimate.

Which Morocco-specific points should you check?

A standard demo does not always show local requirements. Ask to see each point on a concrete case rather than accepting a “yes, that's possible”: custom development is expensive to maintain with every finance law.

  • Documents: the company's ICE, IF, RC and professional tax number, the customer's ICE, continuous numbering per document type, credit notes linked to the original invoice.
  • VAT: editable 20 %, 14 %, 10 %, 7 % and exempt rates, cash or accrual basis, statement of deductions in the EDI format expected by SIMPL-TVA.

Is your data protected and recoverable?

Your invoices, customers and books belong to you. Before signing, ask how to export all your data (customers, items, invoices, entries) in an open format such as Excel or CSV, what happens if you stop the subscription or maintenance, and how long read-only access is kept. Since accounting documents must be kept for ten years, reversibility is not a detail.

On security, check that each company is isolated, that permissions are set by role (a salesperson does not see payroll), that two-factor authentication is available and that an audit log shows who did what and when. Ask the vendor about backups, hosting and the processing of your employees' and customers' personal data, governed in Morocco by Law 09-08 under the supervision of the CNDP. If your teams work in the field or with an unstable connection, also test the mobile app and offline mode.

What does business software really cost over three years?

The headline price is only one line of the budget. Add up over three years licence or subscription, users, configuration and data migration, integrator, training, hardware, maintenance and updates, plus your team's time. Fictitious example, in DH excluding VAT, for five users:

  • Option A, online software: a subscription of 150.00 DH per user per month, i.e. 27,000.00 DH over 36 months; configuration and data migration 4,000.00 DH; training 2,500.00 DH; total 33,500.00 DH.
  • Option B, installed software: licence 18,000.00 DH; maintenance at 18 % of the licence each year, i.e. 3,240.00 DH and 9,720.00 DH over three years; server 7,500.00 DH; installation by an integrator 6,000.00 DH; training 2,500.00 DH; total 43,720.00 DH.
  • A difference of 10,220.00 DH in this example, which can shrink or reverse with an existing server, a larger team or included maintenance: what matters is the line-by-line total, built from your own quotes.

How do you test software with your real documents, then decide?

A useful trial is prepared: replay three to five real scenarios from last month in each shortlisted package, with the person who will use it every day and your accountant for accounting and tax. Note the time spent, the blocking points and the quality of the support team's answers.

To decide, weight your criteria rather than counting features. Fictitious example: Moroccan obligations 30 %, process coverage 25 %, three-year cost 20 %, ease of use 15 %, support and reversibility 10 %. It depends on your processes. With few invoices and no stock or staff, invoicing software is often enough; as soon as sales, stock, bank, payroll and accounting need to talk to each other, an integrated tool avoids double entry. Prefer a tool that lets you start small and add modules later.

Cloud or installed software: which suits a Moroccan SME?
