When a supplier sends its invoice as a digital PDF, meaning produced by software rather than scanned or photographed, SOGESTIO reads it automatically: the supplier is recognised by its ICE number, then the number, dates, lines and totals are prepared as a draft purchase invoice. A manager checks and validates it; nothing is recorded without a human check.

If the same invoice arrives twice, by e-mail and then by post for instance, the duplicate is flagged. Supplier invoices then feed payables and due-date tracking, and deductible VAT is carried into the return.

Order, receipt, invoice: pay only for what arrived

Order, receipt and invoice matching compares what was ordered, what actually reached the dock and what the supplier invoices. Example: an order for 1,000 parts at 25 DH excluding VAT, or 25,000 DH; the goods receipt counts only 960; the invoice states 1,000. The 40-part gap, 1,000 DH excluding VAT or 1,200 DH including VAT, is flagged before payment instead of being found at stocktaking.

Upstream, purchase requests are validated against an amount threshold and a role, tenders compare several suppliers and framework agreements apply negotiated prices. Goods receipts bring goods in at net purchase cost and recalculate the CMUP.

Warehouses and stocktaking: stock that matches reality

Stock is tracked per warehouse, dock, store room or external warehouse, with incoming, outgoing and transfer movements. Batches and serial numbers provide the traceability industrial customers require, and the negative-stock rule prevents delivering what is not actually in stock.

Stocktaking compares book stock with the physical count. Example: 1,250 units expected, 1,228 counted, a 22-unit gap which, valued at a CMUP of 18 DH, comes to 396 DH. The adjustment is recorded and traced in the audit log, and a gap that recurs on the same item becomes a signal worth investigating.

Plants and hubs: payroll, integrations and closing

Payroll produces payslips with CNSS, AMO, IR and seniority, generates the DAMANCOM preparation file and the preparatory 9421 statement, and the Human Resources module tracks contracts, including temporary and fixed-term ones. On the Pro and Group plans, production handles bills of materials and production orders at real cost.

To connect SOGESTIO with a warehouse system or a customer's tool, a documented REST API (OpenAPI), with read or write API keys, and signed webhooks are available. At closing, stock valued at CMUP and the entries generated on the CGNC chart of accounts feed the financial statements, to be reviewed by your chartered accountant.

An online service, minutes from Casablanca

SOGESTIO has no office in Berrechid: it is an online service usable anywhere in Morocco, in French, Arabic or English, and setup is remote, with items, opening stock and balances imported from Excel or CSV. Storekeepers check stock from the Android app or the web app installed on iPhone, and offline mode lets them keep viewing and entering data during an outage, with sync when the network returns.
